Please read this before you register. We are a small program and cancellations affect our ability to staff and plan. The more notice you can give us, the better we can work with you.
A non-refundable registration fee of $25 per child is included in your session payment. This fee is retained in all cancellation scenarios, including medical and compassionate withdrawals.
To cancel your registration, send written notice to info@adventuringintoknowledge.ca. Refunds are calculated from the date written notice is received, not the date of your last session.
Once a session has started, fees are non-refundable. We staff and plan based on confirmed enrollment and cannot offer refunds for unused sessions after programming has begun.
If your child must withdraw due to a documented medical reason, we will consider a partial refund of remaining unused sessions. To request this:
A refund of 50% of unused session fees, less the $25 registration fee, may be issued at the discretion of the AIK program director. Compassionate circumstances other than medical will also be considered on a case-by-case basis.
No refunds or credits are issued for individual missed sessions, regardless of the reason. This includes illness, family travel, school conflicts, and personal scheduling changes.
If your child is unwell, please let us know before the session. Children should be symptom-free for 24 hours before returning.
We cancel only when it is genuinely unsafe to run the program. Conditions that may result in cancellation:
When AIK cancels a session, a credit equal to the pro-rated value of that session is applied to your account. Credits can be used toward future sessions or refunded as cash at the end of the program year upon written request.
Sessions are not cancelled due to rain, cold, snow, or mild wind. These are expected conditions for an outdoor program. A child who arrives underdressed for the weather may need to be picked up early, and no credit or refund applies in that situation.
If AIK must cancel a session due to facilitator unavailability and no qualified substitute can be found, a pro-rated credit will be applied to your account. If multiple sessions are cancelled in a single term due to staffing, credits may be converted to a cash refund upon written request.
AIK reserves the right to cancel a program if minimum enrollment is not met. A full refund, including the registration fee, will be issued. Families will be notified as early as possible.
If AIK must cancel an entire program after it has commenced, families will be refunded a pro-rated amount for remaining unused sessions, less the $25 registration fee.
Pickup is at the scheduled end of each session. If a child is not collected on time:
Late pickup fees are due before your child's next session. Repeated late pickups may result in a conversation about whether the schedule is working for your family.
Payment is made online at time of registration via Stripe. Your spot is confirmed once payment is received.
Approved refunds are processed within 10 business days of the request being received and approved. Refunds are returned to the original payment method. We cannot issue refunds by cash or cheque.
Account credits do not expire within the current program year. Credits not claimed by written request before the final session of the year may be forfeited.
All cancellation and refund requests must be submitted in writing. Include your child's name, the program they are enrolled in, and the reason for your request. We aim to respond within 3 business days.
